Job Description
Join us at our national Head Office as the friendly and welcoming face of our organisation!  As the first point of contact to both internal and external stakeholders, your administration and coordination support will ensure that our day to day office operations are run effectively and efficiently. Supporting our team in creating a great place for our staff to work, who in turn are making the world a better place for children.

Where you come in:
In this full-time, maximum-term position (12 months) based in our Carlton head office, you will be focused on providing a welcoming and positive atmosphere for all visitors, guests and employees.  Your exceptional customer service and professional office support will ensure the smooth running of our daily office activities and foster key stakeholder relationships.  You will be part of our close-knit Business Services team and report to our Business Services Manager.

You will make an impact by:
  • Managing reception and being the first point of contact for all internal and external stakeholders
  • Facilitating and leading effective event coordination
  • Contributing to the effective induction of new employees, specifically in relation to building access, office orientation and Health & Safety requirements
  • Coordinating incoming and outgoing mail, courier services and related accounts
  • Ordering stationery and other office supplies; ensuring timely and accurate processing of invoices
  • Maintaining up to date inventory of building access passes, locker allocations and registrations for office pet days

This role requires:
  • Proven administration experience and excellent time management and organisational skills
  • Professional communication skills (verbal and written)
  • High levels of attention to detail and quality
  • Strong rapport and relationship building abilities
  • Ability to multi-task and manage competing priorities
  • Competency in Microsoft Office
