Purpose of the Position
The main purpose of this assignment is to provide procurement assistant support throughout the procurement cycle for a segment of goods and services and for providing effective customer service to internal clients, while ensuring accurate and timely processing of Purchase Requisitions, with the overall goal of meeting the needs and requirements of the internal clients and achieving Best Value for Money for UNICEF.
Key Accountabilities and Duties & Tasks
Register invitees in web-bidding tool, Resolve any registration issues, Update list of invitees
Create and launch tender event in the web-bidding tool;
Create and publish tender notices in UNGM;
Send requests to Supply Division to publish the tender on the UNICEF website;
Notify invitees of bidding opportunities;
Consolidate questions received from invitees;
Send answers to invitees;
Follow-up with invitees on intention to participate;
Bid Opening/Arrange with witness;
Bid Opening/Sort, extract and forward technical proposals to the internal technical panel;
Bid Opening/Sort, extract and forward financial proposals to the Procurement Specialist.
Long Term Arrangements:
Create LTA in SAP/VISION.
Purchase Order / Follow-up with approving officers on releases;
Purchase Order / Print, obtain signatures, scan and send PO to supplier;
Purchase Order / Follow-up with supplier on acknowledgement copy.
Follow-up / monitor on suppliers’ performance management;
Create contracts and related scorecards in web-bidding system for all contracts issued in SAP/VISION;
Follow-up with evaluators on their inputs, print, scan and file the scorecard when completed.

Follow-up with evaluators on their inputs, print, scan and file the scorecard when completed.
2. Maintain comprehensive Procurement and Supplier files, as well as structured electronic filing up to date.
3. Provide guidance and assistance to internal customers and external vendors on UNICEF procurement-related processes, Financial Rules and Regulations, best practices, and administrative issues related to procurement.
4. Carry out other procurement related tasks as requested by the Chief of Procurement.
- Completion of secondary education with additional relevant courses.
- Six (6) years relevant working experience, in a procurement / supply function or in a commercial working environment.
- Fluency in English. Knowledge of French is an asset.
- Computer literacy in standard applications (Word, PowerPoint, Outlook, Internet), and ability to use current job related computer software, databases and proficiency in Microsoft Office package, in particular Word, Excel and PowerPoint is required. Knowledge of SAP is required.
