POSITION SUMMARY
The Human Resources Data Associate is responsible for providing general HR administrative support across a variety of functions, including data administration and ERP system support, report design and delivery, record keeping, and other general administrative duties. The Human Resources Data Associate works with the Recruitment and Hiring Officer to support the hiring and recruitment, on- and off-boarding functions of all HQ staff.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following, with other duties upon request:
  • Enters, maintains, and updates all headquarters staff personal and employment-related data in the ERP system;
  • Designs and generates reports at regular intervals and upon request;
  • Performs audits and reporting on headquarters staff data entry on a regular basis;
  • Sets up and maintains electronic personnel files for corporate employees and contractors;
  • Drafts personal services contracts and modifications;
  • Distributes and tracks contract documents through electronic signature software;
  • Supports the onboarding of new staff members through the distribution, collection, and filing of onboarding documentation;
  • Supports CV database searches on request,
  • Supports the maintenance of ATS records on all recruitments, candidates, talent pools, question library, etc.;
  • Posts jobs to Internews and external advertising sources, tracks expenses and reconciles costs;
  • Performs terrorist screenings for all headquarters employee and personal services contractor staff;
  • Writes employment verification letters upon request;
  • Tracks department expenses, reimbursements, and payment requests;
  • Performs department credit card reconciliation;
  • Assists with maintaining recruitment-related membership accounts;
  • Organizes and updates HR recruitment and staff related documents on INsite;
  • Understanding of and demonstrated commitment to upholding Internews’ Core Values;
  • Other duties as requested.

QUALIFICATIONS

  • University degree, or equivalent professional work experience
  • 2+ years office administration experience, preferably in Human Resources
  • Proven ability handling confidential and/or sensitive information
  • Prior experience with databases, preferably an HRIS
  • Strong grasp of Microsoft Windows environment including MS Word, Excel, Outlook, and Explorer
  • Organized, logical, detail-oriented
  • Ability to take direction, yet work independently and complete tasks on time
  • Experience working in collaborative team environment
  • Strong writing and grammar skills, strong interpersonal skills
  • Internet savvy
  • Experience with web-authoring, intranet, and/or page layout software, a plus
  • Previous experience working with ATS software, a plus
  • International experience, a plus
